Try not to base your decision on which property software to buy on price and looks alone. Be sure to download demo versions of the software options that fall within your budget, and to thoroughly test each of them. At the very least, you want property software that can – maintain separate ledgers for individualants and owners, automatically post fees, and write bank checks and deposits. By paying a little more it should also be able to do the following for you – keep track of appointments and give you pop-up reminders, log past communications with tenants and owners, send monthly emails / e-newsletters out to all tenants and / or owners in your database. Look for the ability of the software to transfer your tenant information to an exportable file, so that you can later look up your tenant details for credit references and to log back payments. Also, you ideally want your software to make it easy to update rent amounts and account details.
Whilst trying demo versions of property software, as well as the features included, evaluate how easy it is to use and navigate. Look through the guides and help files that come included – how thorough and easy to understand are they? How user-friendly the software is not something to be overlooked. Difficult, unfriendly software costs you time and, if you have employees trying to figure out how to do something, you are paying them to read the thick manual, and paying for the mistakes that they make when they get confused.
Good after-sales support is important, as you will probably have some questions to ask after / during the install and set-up of the property software. Support should be free for at least a month or two, but this is not always the case. Some vendors will say that support is only offered if you sign-up for their over-priced software updates. Another approach is for them to charge hugely inflated amounts for support after the initial free period expires. So, look into this before making a final decision on which property software to buy.
